PTA Board Responsibilities

EXECUTIVE COMMITTEE – Elected Officers

President

  • Lead Executive Board Meetings
  • Lead General Membership Meetings
  • Contribute content to newsletter
  • Review all outgoing PTA correspondence
  • Communicate to board members
  • Oversee all committee events
  • Orientation/Open House events

Vice-President

  • Fill in for PTA president as needed
  • Contribute content to newsletter
  • Responsible for MES PTA by-laws review/update every 3 year
  • Staff Appreciation Week/Activities

Treasurer

  • Account of budget
  • PTA banking activities
  • Financial statements
  • Liability and bonding insurance
  • Maintains cash flow for events

Secretary

  • Meeting Minutes – Executive and General Correspondence
  • Assist in keeping meeting agenda on track
  • Reference -previous minutes and bylaws
  • Email copy of minutes to board

 

COMMITTEE CHAIRS

Book Fair

  • Coordinate Fall and Spring Book Fair
  • Coordinate volunteers for Book Fair (must be in keepntrack system)
  • Collaborate with media center for use of scholastic dollars
  • Orienation/Open House display

Cultural Arts

  • Research and book cultural events
  • Files for grants as needed
  • Organize Artist-in-residence as needed
  • Coordinate scheduled events with MES Administration
  • Greet performers
  • Orientation/Open House display

Fundraising

  • Seek approval for all fundraising events from PTA board/MES Administration
  • Coordinate fundraising events and/or sales orders
  • Coordinate volunteers for fundraising events & order distribution as needed
  • Orientation/Open House display

Hospitality

  • Coordinate Welcome Back Staff Luncheon
  • Coordinate Staff Appreciation Luncheon

Membership

  • Orientation events
  • Open House Display
  • Membership Drive (Sep-Dec)
  • Collect dues & distribute membership cards
  • Maintain membership list

Communication (Web/Facebook/Newsletter)

  • Gather information from board for website content
  • Post new information as needed
  • Gather information from board & MES Staff for newsletter content
  • Create newsletter and coordinate printing at BOE
  • Count and distribute monthly newsletter for Tuesday folders

Reading Incentive

  • Coordinate program
  • Coordinate incentives
  • Record/Track reading logs
  • Orientation/Open House Display

Recycling

  • Coordinate collection of recyclables
  • Work with the MES ‘Green Team’ as needed
  • Orientation/Open House Display

Santa Shop

  • Coordinate with holiday shop company to products
  • Coordinate event date, set-up/break-down, return unsold items
  • Coordinate volunteers for event

Special Events

  • Coordinate fall event
  • Coordinate winter event (optional)
  • Coordinate spring event
  • Orientation/Open House Display
  • Coordinate other after school activities

Spirit Night

  • Coordinate with local business to host spirit nights
  • Ensure checks are picked up monthly
  • Orientation/Open House Display

Spirit Wear

  • Coordinate purchase of new items
  • Maintain inventory of spiritwear items
  • Orientation/Open House events

Volunteers

  • Coordinate volunteers
  • Coordinate volunteer information session (optional)
  • Update volunteer handbook as needed
  • Coordinate ‘Volunteer Appreciation Week’ display
  • Orientation/Open House display

Ways and Means

  • Organize Box Tops & Tyson’s Project A+ collection contests
  • Provide information about online shopping opportunities (Amazon & Goodshop)
  • Orientation/Open House display
